The UW Family Medicine Residency Network (the WWAMI Network) is a collaborative group of family medicine residency programs related to each other by geography, university affiliation, sharing of best practices and other resources. We are the oldest and largest residency network in the US consisting of thirty-two residency programs located in the WWAMI region of Washington, Wyoming, Alaska, Montana and Idaho. The mission of our organization is to promote excellence in family medicine residency education, provide academic leadership, and to meet regional primary care workforce needs. We are looking for an individual who shares these goals to join our team as our FMRN Marketing and Recruitment Manager. Our organization is currently in an expansion phase. We have 32 programs and anticipate adding five to six new programs in the next several years. This position plays a key role managing all our branding, marketing and recruitment activities and must be dedicated to developing an understanding of regional primary care and graduate medical education.
The UW Family Medicine Residency Network has an outstanding opportunity for a Public Information Specialist to join their team.
DUTIES AND RESPONSIBILITIES
Domains of responsibility include:
ManageMENT OF Marketing, Promotion & Recruitment Activities (65%):
Promote our organization and its mission to affiliated members, community and national audiences by creating content for our website, social media and promotional materials such as newsletters, brochures, posters, and exhibits. Respond to inquiries and provide information to the interested public concerning program goals, structure, and opportunities for involvement. Write and edit and maintain website content to ensure usefulness and accessibility to intended audiences. Assess ongoing activities and maintain communications among FMRN leadership, faculty, staff, and affiliated partners to ensure roles and responsibilities are defined, priorities are established, and all marketing and recruitment activities are achieved on time and on budget. Resident/Applicant Recruitment. Create resident/applicant promotional materials. Manage a large annual exhibit at the American Academy of Family Physician’s national conference for the recruitment of medical students to our affiliated programs. This involves managing the participation of 30+ booths, managing the creation of all booth displays and graphics, managing contractors such as graphic design professionals and trade show labor, purchasing booth materials and giveaways and working with the Washington Academy of Family Physicians on co-hosting a large reception. Family Physician Recruitment: Manage the FMRN online practice opportunities listing and featured employer account with STFM.
MEETINGS & EVENT Planning & Management (25% FTE):
Develop, implement, promote and facilitate stakeholder meetings and events. To include agenda planning, outreach to speakers, creation and publication of meeting materials and event promotion. Management of in person meeting logistics including travel, catering, venue and AV. Schedule regular FMRN conferences, meetings and events. Provide calendaring support for the FMRN Director as needed Represent the FMRN through networking and participation at national conferences and meetings both in person and virtual.
Other DUTIES (10%):
Zoom Training & Facilitation: Train presenters how to effectively use Zoom to teach and facilitate, set up Zoom conferences, and serve as meeting host or chat monitor. Create breakout rooms as needed. List-serve creation and management. Gather data and create surveys and reports as needed. Other duties as assigned.
MINIMUM REQUIREMENTS
Bachelor’s degree and two to three years of experience coordinating large conferences or adult education courses and experience working with local, regional and national presenters or equivalent education/experience.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS
The FMRN office is a collaborative environment and the ability to work together as part of a team is essential. Other requirements for this position include:
Good written and oral communication skills, organization, and ability to multi-task and prioritize given the many competing deadlines and over-lapping conference schedules. Ability to work independently and communicate with a wide variety of people and represent our organization in a professional manner including UW School of Medicine and department contacts, affiliated faculty, hotel and facility management staff as well as national organizations such as the AAFP. Experience with remote learning platforms such as Zoom.
DESIRED QUALIFICATIONS
A successful candidate will have some understanding of the local and national environment around health care, particularly regarding primary care. Success in this position requires creative interest in education of family physicians and enthusiasm for building successful educational programs. Familiarity with the University’s online administrative systems and social media are a plus. A willingness to learn new systems and ability to think outside the box to improve processes and workflow since our organization is rapidly expanding and changing.
